The Project Support Officer will provide vital support to the Data Infrastructure programme manager/director. Your role will include all aspects of project support. This highly-organised, dynamic team member may also be involved on a broad spectrum of project activities within the Operations and Capital Projects Team. The post holder will directly report to the Programme Manager, and play an important role in project planning, monitoring project schedules, preparing project progress reports, organising meetings and supporting risk and issue management. This will require working closely with senior administration management and liaising with key project stakeholders.
 
Every project is different and therefore your duties will change accordingly.
 

  • Ensure the agreed project management methods, standards and processes are maintained throughout the project lifecycle.

  • Organise project meetings, boards and events related to the projects, including minutes, action updates and liaison with stakeholders and suppliers.

  • Assist the programme/project managers in the production and maintenance of project plans.

  • Develop and maintain the project documentation, filing, recording and reporting systems.

  • Coordinate the production/submission of project highlight reports and support programme manager with project documentation.

  • Support programme manager with the organisation of internal and external project/programme reviews and audits

  • Advise and assist project team members in the application of project procedures, best practices and recording/reporting standards.

  • Maintain risk and issue logs and change control records.

  • Develop and support effective communication mechanisms between the project teams

  • Assisting in management of programme stakeholder engagement and communication.

You have
 

 

  • An undergraduate degree

  • 2 years + relevant project management or business administration experience

  • Highly IT literate and proficient with common applications such as MS Office and web-based applications

  • Experience of recording meeting minutes

  • Organised with great attention to detail and logical problem solving skills

  • Excellent planning and organisational skills

  • Ability to work with a variety of stakeholders to support change management

  • Persistence to carry tasks through to conclusion

  • Flexible and positive attitude

  • An ability to deal positively with change and adapt to new situations

  • Excellent verbal and written skills

  • Attention to details and capable of working under own initiative

  • Project management training: PRINCE2 or equivalent qualified

  • Business administration training

  • Broad demonstrable experience of successfully supporting projects

The Operations and Capital Projects Team oversees capital investment programmes, operational change projects and facilities management at EMBL-EBI. The team works closely with external and internal operational teams to manage large capital investment projects and programmes and supports EMBL leadership by contributing to consultations, external reviews and supporting impact reporting.

EMBL-EBI has been awarded £45m via UKRI’s Strategic Priorities Fund to support the continued expansion of its range of open biological data resources until 2024 (phase 1). The Data Infrastructure programme established with the investment, oversees the expansion of data centre capacity, storage, compute and networking and the establishment of new services. Phase 1 of the programme includes three major projects: BioData e-infrastructure; establishment of a BioImage Archive and the construction of a new office building in the Wellcome Genome Campus to accommodate the growing expertise.
