We are seeking a skilled paralegal/contract administrator to take charge of reporting and data/document management for our legal team. The position will work closely with our legal team to identify opportunities for improvement and help implement those changes. As a paralegal/contract administrator, you will develop playbooks and processes, generate reports, and implement data-driven strategies to control costs, forecast resource and budget needs, and monitor internal and external resource performance.
Your mission
Provide overall support to the legal team on legal, transactional, compliance, intellectual property, and regulatory matters
Review and provide guidance in preparing contracts, amendments, and change orders
Assist in negotiating and executing contracts
Monitor compliance with terms and conditions of contracts
Manage contract closeout procedures
Provide ongoing assistance to staff in the administration of contractual agreements
Assist with the development and execution of service contracts and manage the renewals of those agreements
Assist in taking meeting minutes
Maintain contract files and records within the contract management system; prepare status reports; and reconcile differences with other members of the organization
Provide regular status updates to internal stakeholders on contracts, projects, and other legal matters
Develop reports and processes to monitor people, processes, and spend throughout the legal department
Identify opportunities to streamline the contract lifecycle management process along with other legal processes
Create legal billing guidelines and manage billing matters
Assist in the onboarding of new legal department hires
Provide technical and training support for new legal department hires and internal stakeholders
Collaborate with cross-functional teams including finance, IT, PMO, as well as various other business units
Assist in identifying and implementing legal department tools to streamline new or existing practices, as well as managing design, rollout, and training for new systems.
Help enforce processes and policies to manage legal matters, projects, and contracts
Assist in legal operations with budget matters and optimizing workflows within the legal department.
Requirements
Your expertise
Bachelor’s degree
3+ years of corporate law department experience as a legal assistant, paralegal, and/or contracts professional
1–2 years of experience with legal project operations and management in-house or at a law firm (both preferred); clerical experience also preferred
Proficient in business applications such as Google Suites, Microsoft Word and Excel, document management systems, and legal enterprise software
Experience developing forms, processes, and policies
Excellent analytical, problem-solving, and communication skills
Discretion in dealing with highly sensitive information
Able to thrive in a fast-paced environment and successfully manage multiple deadlines while working with limited supervision
Ability to move projects forward by gaining support from stakeholders
Proven track record of collaborating with cross-functional groups to set objectives and produce results
Support and handle a variety of ad hoc projects within the team as they arise.
