EXECUTIVE & OPERATIONS ASSISTANT - $50,000/YEAR | REMOTE

We are seeking an Executive and Operations Assistant who will provide administrative and program support to the Executive Director and Chief Operating Officer, directly, and the senior staff team, as needed. The Executive and Operations Assistant will be an experienced administrative professional who can provide complex administrative support for the team by performing difficult and specialized administrative and technical responsibilities. This is an entry-level role that will provide coordination and support to operations, finance, human resources and campaign functions within the organization. Success in this role will rely on the ability to multitask, proactively foster internal and external coordination, and perform creatively with nimbleness in the face of changing circumstances.

Responsibilities:

Operations

  • Prepare written materials, respond to information requests, and help coordinate and track activities.

  • Attend internal meetings and be able to document, identify and track key takeaways, next steps, including resources or research needs.

  • Communicate effectively with external contacts, and actively promote and ensure clear communications with internal staff at all levels.

  • Support the COO in daily operations of the organization

  • Make decisions on routine tasks and assignments, and solve moderately complicated problems using independent thinking and knowledge in both routine and specialized projects.

  • Maintain well-organized and accessible electronic and paper files, when necessary

  • Assist with board relations and communication

Finance/Fundraising

  • Assist with processing expenses and credit card reports

  • Work closely with accountants and fundraising to manage grant reporting across departments

  • Administer contracts for consultants and work with accounting to ensure timely payments of invoices.

Human Resources/People Ops

  • Participates in advancing goals in which people from all backgrounds and experiences feel connected, included, and empowered to align with Majority Action values.

  • Participates in building Majority Action’s organizational culture by supporting the work, assisting in researching tools, systems and best practices to address staff needs, for example, developing and implementing staff engagement surveys in collaboration with COO.

Senior Staff/Campaign Support

  • Collaborate on preparation and distribution of reports and other written/virtual materials with the appropriate project owners

  • Manage schedules and organize meetings, conference calls and video conferences for the Executive Director and other senior staff as needed.

  • Coordinate with departments on projects to ensure tools and systems are in place within a specified timeframe.

The ideal candidate will have:

  • A history of running an operations and supporting an executive in a virtual setting

  • Deep commitment to racial, economic, and climate justice demonstrating priority for racial equity in the development and execution of internal culture, strategies, and tactics

  • A background for analyzing challenges within an organization and crafting solutions

  • Track record of developing, cultivating, and leveraging relationships

  • A knack for simplifying complex organizational issues

  • Ability to drive work forward effectively and quickly in a rapid response moment

  • An ownership mentality where you are empowered to seek feedback, remove barriers, and implement new systems in collaboration with the COO

  • High school diploma and at least 3-5 years of work experience in a fast-paced, detail-oriented environment, or a bachelor’s degree and at least 2-3 years relevant experience.

  • Meticulous attention to detail and organizational abilities.

  • Excellent oral and written communication skills, and strong interpersonal skills

  • Demonstrates self-awareness, cultural competency and inclusivity with ability to work with colleagues and stakeholders across diverse cultures and backgrounds.

  • Strong research skills and executive scheduling

  • Ability to work independently, and successfully handle and prioritize diverse tasks simultaneously.

  • Interest in environmental advocacy, racial justice, and/or corporate accountability is preferred.

  • Proficiency in the use of Google Drive and exposure to MicroSoft Office Suite (Word, Excel, PowerPoint, Outlook, etc.) and other Windows based programs, as well as project management software such as Asana.

  • Familiarity with Slack, CRMs, basic accounting, preferred but not required.

  • Clear alignment with our mission around corporate accountability, with prior experience in corporate accountability campaigning and/or shareholder advocacy helpful, but not required

Compensation

$50,000.
