EXECUTIVE ASSISTANT, $1,100 - $1,700 MONTHLY, WORK FROM HOME

While the Executive Assistant will work closely with you one-on-one and report to the CEO, you will be the CEO's direct report. When it comes to everything involving the Office of the CEO, the Executive Assistant serves as the main point of contact for both internal and external audiences. The executive assistant manages special projects, plans and supervises executive outreach and external relations initiatives, and acts as a point of contact for the CEO's management team. The Executive Assistant must be imaginative and love working in a small, entrepreneurial atmosphere that is goal-driven, results-driven, and community-oriented.

Responsibilities

  • Complete a broad variety of administrative tasks for the CEO, including managing the tasks on the calendar and new to-dos; completing and checking accounting reports; taking over an executive email communication to prioritize threads that are sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and leading projects independently to help some other members of the management team.

  • Plans, coordinates, and ensures the CEO's schedule is followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the CEO's time and office.

  • Communicates directly, and on behalf of the CEO, when needed to partners, contractors, prospects, clients, and staff on matters related to CEO's programmatic initiatives.

  • Learn how to sell, manage and lead the different organizations

  • Researchers prioritize and follow up on incoming issues and concerns addressed to the CEO, including those sensitive or confidential. Determines appropriate course of action, referral, or response.

  • Provides a bridge for smooth communication between the CEO's office and internal departments, demonstrating leadership to maintain credibility, trust and support with senior management staff.

  • Works closely and effectively with the CEO to keep him well informed of upcoming commitments and responsibilities, helping him remain accountable to the goals and tasks he’s set and following up appropriately. Acting as a "barometer," having a sense for the issues taking place in the environment and keeping the CEO updated.

  • Be empowered to build relationships crucial to the organization's success and manage a variety of special projects for the CEO, some of which may have organizational impact.

  • Assist with and help manage personal projects related to the CEO’s life outside of work that can distract and pull time away from important work initiatives. These projects may include helping manage vendors working on house projects, scheduling vendors to assist with house projects, helping to plan and coordinate social gatherings etc.

  • Maintains discretion and confidentiality in relationships with all matters related to the CEO.

  • Solid interpersonal skills and the ability to build relationships with stakeholders, including staff, Management members, and external partners.

  • Expert level in written and verbal communication skills

  • Demonstrated proactive approaches to problem-solving with strong decision-making capability

  • Highly resourceful team player, with the ability to also be extremely effective independently

  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
