Hiring a professional assistant to run their social media accounts and assist and empower their C-level staff. Someone who has outstanding communication skills, pays close attention to detail, and takes the initiative to pick up new skills and solve problems would be a wonderful fit for this post. We require an assistant who can be highly flexible and confident in high-level systems and operations because of the fast-paced work environment.
Answer phone calls, confirm meetings, and arrange scheduled appointments
Communicate and speak with their client to obtain pertinent data to prepare legal documents via phone calls and emails
Confirm meetings and schedules and communicate with the Leaders upon completion and progress of appointments
Manage and maintain calendars and appointments
Handle administrative tasks such as filing, saving, scanning, and mailing to the extent, and able to make phone calls
Complete word processing tasks
Research and organize data
Maintain and manage contacts
Create documents, prepare legal retainers, email retainers for review and signing, monitor for signed retainers, and fees/costs paid
Maintain professionalism and strict confidentiality with all materials and exercise discretion when interfacing with the business
Manage social media channels and communicate with clients relating to relevant concerns and insights
Order supplies
At least two years of solid experience in an administrative role as an Executive Assistant
Familiarity with social media platforms
Solid experience in calendar management, email management, and project management
Proficiency with Microsoft Office tools such as Word and Excel
Ability to maintain regular and punctual attendance
QuickBooks knowledge is a plus
At least 15mbps for the main internet and at least 10mbps for backup
A desktop or laptop that has an i5 processor with at least 8 GB RAM and an i3 processor for backup
Note: Back-ups should still be able to function when there is a power interruption
